  • CLOSINGS To provide the most complete management – related services to our clients, it is our responsibility to ensure that every sale, transfer and refinance request related to your property is processed according to your property’s specific terms, policies and procedures. Through the Gotham Property Management Corp., all prospective purchasers and new homeowners will receive your property’s written guidelines, By-Laws, and House Rules. In addition, we will collect and post all appropriate fees due to your property in connection with sales, transfers and refinances.
  • FINANCIALS Your Board will receive a detailed, easy to understand Income/Expense report. This report will include disbursement statements, bank statements, and copies of paid invoices. Gotham Property Management Corp. will coordinate with your property’s Treasurer and Accountant to prepare operating budgets for the boards’ review and implementation. These budgets will be prepared in a timely manner, and will accurately reflect your property’s current financial condition, as well as forecasting the upcoming annual budget.
  • INSURANCE Gotham Property Management will analyze your current insurance portfolio to determine the adequacy of your coverage and to make alternative suggestions where appropriate. In addition, GPM will prepare claims for submission and payment, and will follow up to ensure timely action by your carrier. Should you determine to investigate alternatives when your policies are due for renewal, GPM will solicit at least three bids from other carriers, and will supply a list of alternative carriers for your consideration.

  • BOARD MEETINGS Gotham Property Management Corp. will attend each regularly scheduled Board Meeting. We will discuss your Monthly Management Report, informing the Board of all actions taken on behalf of your property in the month prior, of the progress of capital improvement programs, repair problems, or employee performance. We will also address ongoing, current and upcoming issues that impact your property. In addition, should you request, GPM also will provide accurate and timely meeting minutes. Or should you desire, GPM will assist with the engagement of and objective professional Minutes recording service to provide timely records of your meetings.
  • ANNUAL MEETINGS Gotham Property Management will assist the Board in preparation of the Annual Meeting. Along with the Board we will assist in conducting the Annual meeting in accordance with all requirements of the Association’s By-Laws and any applicable State laws. This assistance will include, if necessary, handling the preparation and mailing of the First and second Notices of Annual Meeting/Call for Candidates; collecting and maintaining all proxy/ballots for voting and quorum purposes; providing an updated delinquent homeowner listing; and assisting in the selection of the Election Committee.
  • FILES AND RECORDS A complete unit owner history is maintained for each homeowner on line and in hard copy. Each individuals file contains copies of all correspondence, work orders and repairs for that individual. These files enable the Association to access information regarding a particular unit owner quickly and accurately. GPM will maintain a detailed and comprehensive set of financial records and office files on behalf of the community. All administrative documents are filed according to subject matter utilizing a uniform filing system for all communities. Members of the board may inspect these files at their own convenience provided there are no requests for weekend inspections.
  • CONTRACTORS GPM is responsible for obtaining bids for all contract services, maintenance items and improvement projects. We will prepare detailed specifications for the Board review. At least three bids are solicited for each contract’ Bids are forwarded to the Board for review and approval. We will negotiate these bids on behalf of the community so as to gain the most service and best possible price. Upon award, each contractor will be required to provide a Certificate of Insurance prior to work commencing on the property. After the contract is awarded, GPM will ensure that work is completed to the specifications and will make sure that quality work is performed. Final payments will not be submitted without Board approval.
